Job Description:
Budget Title: Staff Assistant (SL-2)
Salary: Commensurate with experience
The Asset Management Coordinator is responsible for the centralized accounting and timely reporting of university assets at Binghamton University by utilizing the State University of New York (SUNY) Real Asset Management (RAM) system. In accordance with Office of Management and Budget (OMB) Uniform Guidance, equipment valued at $5,000 or more and having a useful life of more than one year must be recorded in RAM, which facilitates proper reporting of asset transactions and safeguards against loss. This includes the inventory of State, Research Foundation, and Binghamton Foundation assets. The Asset Management Coordinator conducts and reconciles inventory annually. Additionally, this office manages the disposition of surplus property by redeploying items to alternate locations by the use of BingSwap, transfer to other State agencies, and surplus auctions through the Office of General Services (OGS). This position reports to the Senior Administrative Assistant and Asset Manager.
The Asset Management Coordinator will have the following primary responsibilities:
- Maintain the Property Control System according to NYS regulations, facilitating proper and timely reporting of equipment transactions
- Review and update asset information in SUNY's Real Asset Management system (RAM)
- Establish procedures to identify, locate, and coordinate the tagging of new assets for inclusion in RAM on a consistent and timely basis
- Coordinate the annual campus inventory and update RAM to reflect current location, condition, and status of all assets
- Report theft, loss or misuse of State assets, including assets not located during inventory, to Department Chairs, Senior Administration, University Police, University Controller, and the Office of the State Comptroller as appropriate
- Work with the Research Foundation and Binghamton Foundation offices to tag and track their assets. Assist with Research Foundation reconciliation reports to ensure the Research Foundation and SUNY's RAM systems asset records match
- Issue ownership tags for assets below the $5,000 University capitalization threshold and assist campus departments in safeguarding these assets
- Maintain an inventory of surplus assets and coordinate appropriate disposition
- Utilize and promote the BingSwap website to manage the transfer of surplus assets between departments
- Coordinate surplus asset listings through SUNY and OGS, verifying auction proceed funds are received back into the appropriate account
- Monitor off campus storage of surplus assets
- Review and update the campus management procedure for Property Control and related procedures and forms
- Communicate with all campus departments and administrators regarding current policies and procedures pertaining to University owned assets
- Provide support for internal and external audits as requested.
Requirements:
Visa sponsorship is not available for this position
- Bachelor's Degree, or Associate's Degree with 2 to 3 years related experience
- Technical expertise in the use of spreadsheets, databases and ability/eagerness to learn new programs/systems
- Ability to work both independently and collaboratively, as the task requires
- Excellent attention to detail
- Strong organizational and time management skills, including the ability to prioritize workload
- Strong interpersonal communication skills, both oral and written
- Ability to lift up to 25 pounds
- Valid/clean driver's license to operate a motor vehicle
- Experience working in higher education setting
- One to three years' experience in asset management, business administration, or other related field
