The Coordinator, Alumni Relations is a key position on the Alumni Relations team, serving as the front line of communication for both external (alumni) and internal (staff, faculty, students) constituencies and as the administrative manager for the team. The coordinator must be highly motivated, able to work independently, adept at managing up, proactive, solution-oriented, eager to master new technologies, discreet in the handling of alumni and internal records, and have a keen eye for detail. The Coordinator supports the Regional and Affinity Team, and other members of the alumni relations team as needed, and works with both staff members and volunteers to promote the success of programs and projects.
The Coordinator, Alumni Relations is a part of an Alumni Relations team that connects our 85,000 alumni back to Lehigh for a lifetime. All members of the team are expected to support all Alumni Relations key initiatives, major events, and projects. 1. Administratively support program managers utilizing Lehigh Connects platform
*Review and approve incoming users
*Review and approve job postings for appropriateness and accuracy
*Produce regular reports on Lehigh Connects usage
*Work with AD, Digital Communities to support Lehigh Connects, new tools or features as needed
2. Support the members of the Regional and Affinity Strategy Team and Senior Director Alumnae Engagement
*Manage Workfront workflow process for team including entering new events and projects
*Support select events driven by Alumni Relations staff and volunteers by preparing nametags,
lists and event materials
*Provide overall support to team as requested including setting up Zoom meetings, scheduling travel and calendar support
*Organize Alumni Relations team meeting agenda process; prepare and distribute other team meeting agendas as needed
*Manage alumni license plate program
*Support Regional team with travel program as needed
*Inventory and order alumni swag as needed
*Create and distribute Net Promoter Surveys using Qualtrics for Alumni Relations team as needed
*Provide support to Coordinator, Class Affinity Activities and Programs as needed
3. Run reports, manage coding and use data to support team success
*Manage coding for volunteers, speakers and event hosts and other coding projects as needed to provide data accuracy for the team
*Enter call reports and interaction reports from engagement officers
*Run reports on alumni constituents, volunteers and event success to help us analyze our programs
*Provide volunteers with accurate data in order to secure and run their own events, and track accordingly
*Assist team in running regional analysis reports for strategic planning
*Assist AVP and AD, Volunteer Engagement with various tasks associated with building and managing a data-driven, robust volunteer pipeline
4. Provide administrative support for the Alumni Relations team
*Process all billing and invoice requests (including reimbursements and check processing)
*Assist team members in managing Lehigh indexes and group-specific budgets
*Produce regular budget reports for staff
*Handle OneCard reconciliations as requested
*Manage all shipping and supply orders for the team
5. Provide exceptional customer service and support for Alumni Relations
*Serve as a first point of contact for small regions and new networks seeking event and
communications support; build rapport with volunteers and alumni
*Greet and assist alumni and visitors; schedule meetings, receive, transfer, and screen calls; liaise with other campus offices on behalf of Alumni Relations
*Proactively assist alumni and staff (both internal and external to Alumni Relations) and problem solve
*Possess an overall understanding of all office functions in order to best assist alumni and staff

Qualifications
High school diploma or equivalent combination of education and experience; Associates or Vocational/Technical Degree preferred
One to three years related work experience
Extensive experience with computer software and hardware; financial management and accounting
Excellent communication and interpersonal skills and a high level of customer service required
Excellent organizational skills, time management, and sound judgment
Adept use of digital communication preferred
Proven ability to manage multiple tasks simultaneously and a high degree of initiative for bringing tasks to completion
Ability to complete projects on time and on budget, and report on status and progress
Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
