Duties and Responsibilities

Reporting to the Head of Research and Learning Services, the Library Assistant for Research and Learning works closely with librarians, staff, and graduate student employees to support the day-to-day operations and outreach efforts of the Research and Learning Services Department. In particular, the Library Assistant for Research and Learning coordinates hiring, training, and supervising graduate student employees and ensures consistent delivery of research and information assistance at all the information services points, including the Information Commons Research Help Desk and the Circulation Desk in Cudahy Library at the Lake Shore Campus, and the Lewis Library Research Help Desk at the Water Tower Campus.

This position often requires shift adjustments based on the academic schedule, building hours, and coverage needs. This position requires shifts at both Lake Shore and Water Tower campuses.

Duties and Responsibilities:

Research and Learning Services
  • Provide research and information assistance to university students, faculty, staff, and guests, in-person and virtually, and assist in referring library patron questions and comments to relevant library staff.
  • Manage research help questions submitted through the Ask a Librarian email form by responding to basic inquiries and forwarding complex questions to subject librarians as appropriate.
  • Supervise Research and Learning Department Graduate Reference Assistants and assist with the day-to-day planning, assignment, and direction of students' work.
    • Coordinate the hiring, training, and evaluation of Graduate Reference Assistants.
    • Manage the schedule for Graduate Reference Assistants and provide occasional coverage during evenings and weekends when graduate student staff are not available.
    • Maintain policy and procedure manuals.
  • Facilitate access to electronic databases by reporting issues to appropriate personnel and/or creating systems tickets.
  • Manage Cudahy print reference collection, which includes coordinating shelving, shelf reading, stack maintenance, and periodic inventory.
  • Assist with department outreach efforts by scheduling and promoting workshops and events, and creating promotional materials for library services.
Library and University Service
  • Serve on library and university committees
  • Contribute to the implementation of special projects and plans, including the University Libraries Strategic Plan and the University Strategic Plan.
  • Serve as an advocate for the University Libraries in interactions with students, faculty, staff, and visitors.
Minimum Education and/or Work Experience

Bachelor's degree and one year of library experience; equivalent combination of education and experience may be considered.


Minimum Education and/or Work Experience:
• Bachelor's degree.
• Previous supervisory experience, preferably in a customer service environment
Required Qualifications:
• Excellent public service skills, including ability to provide friendly and effective service to a variety of patrons
• Excellent verbal, written, and interpersonal communication skills
• Strong planning and organizational skills, including proven ability to manage time, prioritize tasks, solve problems, and adjust to changing circumstances
• Ability to work both independently and within a collaborative team environment
• Ability to exercise sound judgment and maintain confidentiality
Technology Skills:
• Proficiency with Microsoft Office 365 Suite
• Proficiency with Internet and e-mail applications
• Previous experience with online library resources, including but not limited to electronic databases, catalogs, and discovery tools; experience with Ex Libris' Primo discovery service is preferred
Preferred Qualifications:
• Experience with teaching or tutoring
