Job Summary

The new Travel Operations Manager position oversees and administers University travel policies
and is tasked with travel expense management, leading vendor and partner contracts, monitoring
the University travelers' needs, and identifying cost savings while maintain safe and efficient travel
experiences for all employees.

Job Duties
  • Travel policy development: Create, improve, and implement efficient policies and procedures for the University's travel in adherence with Federal and State regulations
  • Travel strategy: Develop a comprehensive travel strategy for the University
  • Travel department liaison: Work with different departments and senior management to understand the University's strategic travel needs
  • Travel budget management: Oversee the University-wide travel budget and analyze statistical data to identify cost-saving opportunities and improve operating efficiencies
  • Travel department and working-fund department supervision and management: Oversee the Travel Department and Working Fund Department (5-10 employees) to ensure timely and accurate financial management and processing and assess position needs and training opportunities
  • Travel vendor negotiations: Negotiate contracts with travel agencies, hotels, airlines, and other vendors
  • Travel regulation and safety compliance: Ensure compliance with travel regulations and safety standards
  • Travel booking and coordination: Improve the reservation of flights, hotels, and other travel arrangements for employees for both group and individual travel
  • Travel Management System: Implement an online travel management system to include booking capabilities, data analysis tools, mobile applications, and expense reimbursement and recordation to manage all aspects of the University's travel while adhering to the University's policies, to Federal and State regulations, optimizing costs, recording expenses, and ensuring traveler safety
  • Travel Card Management and Expansion: Manage, improve, and expand the University travel card program
  • Travel policies and procedures training: Implement a University-wide travel training program informing all new and current University employees of travel procedures and policies
  • Travel-related problem assistance: Help employees with travel-related issues
  • Travel policies and procedures communication: Improve the University website related to travel policies and procedures, develop regular divisional updates on travel fiscal management through regularly scheduled divisional meetings, and provide regular monthly employee travel newsletter
Requested Minimum Qualifications

Education:
The successful candidate must have a Bachelor's Degree in Travel, Hospitality, Business Management or a similar field from an accredited college or university.

Experience:
At least five (5) years of experience in a travel management position is required.
