Job Description Summary

This position is responsible for the coordination of registration and student record support functions associated with the student information system database, degree audit, and other related systems. This position will also perform audit functions to ensure data accuracy and, provide support for internal and external reporting requirements.

Minimum Qualifications

EDUCATION AND EXPERIENCE
  • Associates degree or equivalent formal training in related field.
  • Combination of education and related full-time experience for a total of six years of equated experience in that includes the maintenance and management of student records, functional data testing and validation.
  • Bachelor's degree preferred.
KNOWLEDGE, SKILLS AND ABILITIES
  • Experience working with Ellucian Colleague ERP.
  • Experience in degree audit system programming and maintenance
  • Able to work under pressure in a high-volume office with short deadlines. Flexible schedule to accommodate the office when necessary.
  • Experience in technology and its application to enrollment services.
  • Ability to communicate effectively in spoken and written standard English.
  • Ability to perform detailed work independently, as well as, in a team environment.
  • Knowledge and experience with Microsoft Office suite.
  • Ability to create interpersonal and group communication as well as public presentations.
  • Ability to process sensitive data and maintain confidentiality.
  • Demonstrated experience working with Ellucian Colleague
Criteria

ESSENTIAL DUTIES
  • Serve as the Records and Registration functional data integrity specialist providing internal and external reports and suggesting recommendations for continuous improvements.
  • Assist Records and Registration staff in the operation and maintenance of the student information systems database and all peripheral systems.
  • Assist with the implementation of upgrades to the SIS and other related systems including Ellucian Recruit, which includes performing testing, and developing workflows.
  • Collaborate with other college personnel in the development and maintenance of the degree audit system.
  • Perform technical administrative functions including auditing/correcting student records and troubleshooting issues.
  • Manage the transmission of data to National Student Clearinghouse (NSC). Troubleshoot error messages and make corrections as required.
  • Generate and prepare reports and assist with required federal and state reporting as necessary.
  • Analyze enrollment reporting data to ensure data integrity and accuracy, identify trends, and make corrections as required.
  • Participate in planning, formulations and modification of strategies and corrective actions to achieve short-term and long-term plans.
  • Assist with the development of internal management policies to maintain data accuracy.
  • Consolidates data from all sources to assist with analysis and development of processes to improve services and ensure the integrity and accuracy of the student database.
  • Collaborates with and acts as a liaison with the Information Technology department and software vendors as necessary.
  • Maintains familiarity with policies and procedures.
  • Provides Colleague Student module training and other related systems for Records and Registration staff as necessary.
  • Serve as an integral part of the college's projects and software teams.
  • Perform other duties as assigned.

PHYSICAL REQUIREMENTS

Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through the use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a, personal computer, calculator, copier, and fax machine. No significant climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.

OTHER REQUIREMENTS
  • Must be able to work Monday thru Friday, 8:30 a.m. – 4:30 p.m.
  • Ability to communicate effectively in spoken and written standard English.
  • As required by the 1986 Immigration Act, be prepared to present acceptable documentation showing your identity and that you are a U.S. citizen or an alien who is authorized to work.
  • A background investigation will be conducted prior to the offer of employment. A signed authorization for the release of personal information will be required if selected for an interview.
