Context of the Job:
Under guidance of Manager, the Assistant Manager is responsible for the oversight and scheduling of Digital and Offset print operations of University Printing. The Assistant Manager will coordinate with University Printing staff to ensure the accurate and timely production of all output as well as ancillary resource management and customer service support.
Major Responsibilities:
- Supervisory Duties Oversee print production operations.
- Coordinate/prioritize workload and assign/route appropriate workflow for both Digital and Offset production as well as coordinate appropriate bindery work.
- Coordinate overtime and vacation for manager approval.
- Schedule and enforce overtime as well as curtailing overtime when appropriate with managers approval.
- Ensure all customer service interactions initiated from University Printing front office are performed in a timely and professional manner.
- Coordinate with offsite vendors/service providers when required for production needs.
- Bookstore and Copyright duties.
- Develop procedures to manage annual course material operation Responsible for obtaining copyright clearance for course material Work closely with participating bookstores to ensure course materials are copyright cleared and available as needed.
- Reconcile payment of royalties to Copyright Clearance Center or to individual publishers.
- Determine number of allowable course packets to be printed with returns.
- Include and track royalties or fees to be added to copy costs.
- Notify participating bookstores of return deadlines.
- Inventory and reconcile returns.
- Financial Duties Estimate and Verify Digital and Offset work.
- Perform monthly closeouts as well as generate monthly reports.
- Maintain PrintSmith software for job entry, tracking, and billing.
- Monitor and adjust pricing for services in PrintSmith with Manager approval.
- Assist in ordering production supplies.
Qualifications:
- Bachelor degree and four years of job related experience, or an equivalent combination of education and experience.
- Effective verbal and written interpersonal, communication, and customer service skills.
- Ability to independently evaluate and prioritize production assignments.
- Must exhibit effective critical thinking and problem-solving technique.
- Ability to assess and suggest new technologies and techniques to enhance workflow.
- Knowledge of current print technologies and best practices as well as awareness of future industry trends.
- Ability to maintain accurate records.
