CONTEXT OF THE JOB:
The Office of the University Registrar, as part of the Enrollment Management Team, manages information systems, maintains students’ academic records, and provides educational support services for the University community.
Under the limited supervision of the Associate Registrar the Assistant Registrar collaborates with assistant deans and academic departmental staff to support student record and curriculum management.
MAJOR RESPONSIBILITIES:
- Supports the Committee on Undergraduate Records and Certification (CURC) committee by creating committee schedules and agendas and providing administrative support at meetings as requested.
- Collaborates with the Academic Records Assistant II to update student records and communicate petition decisions.
- Evaluates and manages the grading cycles and processes; investigates, analyzes, and resolves grading issues. Maintains grade changes and incomplete grade processes. Processes Grading forms including Grade Forgiveness and Incomplete Grade Extensions.
- Responds to complex registration and grading-related inquiries and communicates/clarifies policies and procedures.
- Develops and delivers point-of-use training to faculty and academic unit staff.
- Monitors and maintains Waitlists including setting up, troubleshooting, and communicating to students.
- Codes, places, and troubleshoots Course Requisites.
- Plans, places, communicates and troubleshoots Student Enrollment Appointments.
- Runs Post Enrollment Requirement Checking (PERC) and communicates to students that have failed to meet requisites.
- Provides support for in-person services in the University Visitors Center.
- Serves as a backup for registration and graduation processes, forms and services. Supports new student registration and New Student Orientation duties as identified by the Associate Registrar.
- Assists with Change of Major/Minor/Graduation Term form processing.
- Supports database testing for grading and registration functions.
- Supports the assessment of business practices and helps explore and implement alternatives for the purpose of improving performance and establishing standardized systems and procedures.
- Maintains documentation of registration and grading-related changes in accordance with records retention policies.
- Maintains archival records.
- May supervise student workers.
- May assist with transfer and test credit posting as needed.
- Performs other job-related duties as assigned; works cooperatively in a team-centered environment.
QUALIFICATIONS:
- Bachelor’s degree and three years of progressively responsible job-related experience or an equivalent combination of education and experience.
- Extensive knowledge of the principles and practices of office management.
- Knowledge of academic and administrative programs, policies, and procedures.
- Ability to analyze and interpret academic records and make independent decisions and judgments in accordance with University policy.
- Possess the highest degree of integrity and maturity due to the sensitive, confidential nature of students’ records.
- Ability to develop and conduct training for end users.
- Ability to work with a team of functional and technical staff to manage system processes.
- Ability to use advanced techniques in spreadsheet, database, and/or presentation software.
- Ability to compose correspondence and proofread and edit documents.
- Excellent interpersonal skills with the ability to communicate and interact well with people of all ages and diverse backgrounds.
- Strong organizational skills with the ability to work independently and collaboratively.
- Effectively manage multiple projects and able to analyze and solve problems in a rapidly changing environment.
- Ability to manage and adhere to tight deadlines and handle multiple tasks simultaneously.
- Possess effective problem-solving skills.
- Experience with PeopleSoft Student Administration, COGNOS, Microsoft Office, and Google Suite tools highly desired.
- Ability to work cooperatively in a team-centered environment.
