The Department of Internal Medicine (IM) is KUMC's largest clinical department with 16 divisions covering a wide array of medical expertise. Our department's mission is to advance the power of medicine by providing a stimulating, supportive climate where faculty, scientists, trainees, and support staff strive for excellence and collaborate freely to achieve shared goals.
The Internal Medicine Research Office (IMRO) is a centralized unit who provide services to support the Department of Internal Medicine's research enterprise with over 300 faculty and 600 staff, - to further the Chair of Medicine's research vision.
IMRO is seeking a Director of Research Operations to lead execution all aspects of research operations and manage functional activities for the Department of Internal Medicine. Working with IMRO Senior Leadership, this position will play a key role in development of initiatives and processes and will help execute strategic plans to expand the Department of Internal Medicine's research portfolio. This position will lead and coordinate all aspects of research operations including recruitment and onboarding, personnel management, procurement, communications and events and the customer service experience.
A key responsibility for this position is to work in conjunction with our Human Resources business partners to help recruit and maintain an energized and stable workforce to power the department's research mission. This position will help promote a supportive department culture that encourages morale and performance.
The successful candidate should have superior organizational skills, excellent leadership qualities, and be able to efficiently manage competing priorities and projects. In addition, they will be able to operate with autonomy, evaluate and prioritize responsibilities. This position will require the ability to build consensus and relationships among managers, internal and external stakeholders, and employees.
Job Description:
Required Qualifications
Education: Bachelor's Degree
Work Experience:
- 7 years' experience in research administration or operations management.
- Excellent verbal and written communication as evidenced by application materials and interview process
- Experience working in a university or large academic institution
- Previous experience using analytical skills to problem-solve and provide high quality service in a timely manner
Preferred Qualifications
Education: Master's Degree
Work Experience:
- Experience working with Workday
- Managing personnel or a team.
- Experience working in human resources
- Experience with current labor laws and regulations.
Job Duties:
Under general guidance and with latitude for the exercise of independent judgment and initiative:
Department Research Recruitment
- Oversee tactical execution for the recruitment of research faculty, staff and student; including management of recruitment process in Workday, working with the Office of Faculty Affairs and Development and Internal Medicine Divisions.
- Develop and manage a robust on-boarding/off-boarding process for department's research faculty and staff. Ensure that human resources are appropriately selected, oriented, and utilized.
- Act as HR liaison for all departmental employee concerns, e.g., probation, termination, promotion, merit increases, benefits, etc.
Personnel Management/Leadership
- Responsible and accountable to manage a team of Research Operations staff overseeing events, communications, procurement, and resource management.
- Evaluates the performance of direct reports annually using the institutional Performance Hub. Coordinates and assists with the evaluation of indirect reports.
Resource Management
- Work in conjunction with IMRO Senior Leadership to ensure excellent and efficient stewardship of resources to support the department's research mission.
- Work with Sr. Director and team to coordinate physical resource utilization including space planning, inventory control, and property maintenance. Develop, implement, and manages departmental policies, procedures, and systems to achieve compliance with institutional policies and procedures.
Operations Management
- Responsible for the planning, coordination, control and continuous improvement of processes and methods used to grow IMRO services and IM research portfolio
- Develop, implement, and manages effective administrative processes to ensure operational efficiency and quality outcomes. Design systems and processes which enhance efficiency and effectiveness. Assure that effective internal controls are developed and maintained to ensure integrity of the department/division/institution
- Serve in an advisory capacity to divisions on all matters related to the department's business operations, taking initiative to develop administrative policy as required and works close with the senior leadership to facilitate effective decision-making processes
- Act as Research Operations liaison to build strong relationships with internal and external stakeholders. Serve as a main point of contact within the department for non-research administration issues and serves as a liaison with other departments, Chair's Office, and SOM as well as other campus offices and organizations e.g., Graduate Studies, KEE, OIP
- Participate in efforts to improve operations and research administration including serving on university committees, attending and presenting at internal forums, and staying current on federal and university developments, complex regulations, and new systems development and training (e.g., WorkDay, ServiceNow, etc.)
Strategic Management
- In collaboration with Senior Directors, coordinates the development of both long-term and short-term strategic business plans for the department. Implements and evaluates plans to achieve financial and operational results for the department which reflect departmental, divisional, and institutional goals and objectives. Systematically monitor and prioritize goals to achieve the department's mission and vision.
Project Management/Other
- Provides leadership for special projects for the Internal Medicine Research Office and Internal Medicine Chair's Office as needed.
