Job Description
Performs office and administrative support with an emphasis on planning, logistics, organization, and coordination for the Division of University Advancement. The position reports to the Vice Chancellor and covers a variety of donor stewardship projects and services.
- Provides exceptional customer service by greeting guests, answering, and directing phone calls, and other guest service activities.
- Serves as centralized administrator for gift and pledge form submissions. Receives, reviews, and submits gift forms from gift officers and university personnel. Critically reviews and ensures gift form accuracy for gift processing needs. Logs checks received. Interfaces with gift processing if there are issues and educates officers on best practices.
- Assists with a variety of donor stewardship efforts including preparing and mailing acknowledgement cards and endowment reports. Coordinates key aspects of the annual student thank you letter process. Researches information to draft and prepare stewardship reports and materials.
- Serves as centralized liaison with the Office of Student Financial Aid and Scholarships. Ensures gift agreements are routed appropriately.
- Completes data look ups and data entry tasks in the CRM to maintain and enhance donor records.
- Schedules internal meetings for department heads and gift officers as needed.
- Sets up conference rooms for meetings, including distributing handouts and setting up technology for virtual meetings and presentations.
- Establish and maintain Division SharePoint files and employee phone list.
- Assists with onboarding and offboarding for employees across Division, including cleaning office space, scheduling onboarding meetings, coordinating laptop and phone set up with IT, etc.
- Prepares OneCard submissions and reimbursements for VC and Department Heads (coordinating with Executive Assistant).
- Assists with general office duties such as preparing materials for meetings, preparing mailings, running and reviewing data/reports, and maintaining equipment and technology for the division.
- Organizes and completes assignments according to priorities and deadlines.
- Recognizes and solves typical and emerging problems that occur without supervisory approval.
- Uses discretion and judgement, as applicable, to evaluate work as well as division processes and modify to achieve results or improve efficiency.
- Evaluates and selects solutions from established options/procedures and/or experiences to improve work outcomes and solve problems.
- Maintain confidentiality regarding sensitive matters.
- Perform other duties as assigned.

Salary
Pay commensurate with education and experience.
Hiring Range: $17.43 - $24.04 Hourly
Grade: GGS-8
University Title: Advancement Associate II
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
- Bachelor's degree is preferred.
- At least 3 years of experience from which comparable knowledge and skills can be acquired.
- Must be able to expertly handle sensitive, confidential and/or complicated information and use judgement to communicate to and within the team and/or necessary parties.
- Must be proficient in use of Microsoft Office products, specifically Outlook, Word and Excel.
- Must have exceptional customer service skills and high attention to detail.
