Job Description Summary
The Office of Diversity, Equity, and Inclusion in the Wharton School has an opening for a Coordinator. The Coordinator will support the development of the newly formed Wharton Office of Diversity, Equity, and Inclusion (ODEI). The ODEI Coordinator will provide a wide range of complex administrative and high-level programmatic support to ODEI, working directly with the inaugural Chief Diversity, Equity, and Inclusion Officer. This will include supporting, planning, and coordinating ODEI portfolio of programs and initiatives, as well as ensuring effective and timely execution of various communications, deadlines, programs, and events. The ODEI Coordinator interacts with students, faculty, staff, alumni, and/or other Penn stakeholders at Wharton and across campus in coordinating overall program's operations and administrative functioning. Some evening and weekend work required.
The ODEI Coordinator will manage expense reimbursements and fellowship payments; handle and coordinate meetings and all necessary arrangements; manage marketing and communications operations; update the ODEI website and any other program/event-related sites; and prepares presentation materials for Chief Diversity, Equity, and Inclusion Officer as needed. The ODEI Coordinator will handle confidential information with a high degree of professional discretion and proactively manage the day-to-day activities of the programs and office.

Job Description
Job Responsibilities
- Coordinates planning, management, and execution of multiple related projects that result in accomplishing the strategic objectives of the center. This individual will be responsible for the project management cycle, which involves creating project timelines based on strategic vision set by CDEIO, connecting with and maintaining communication with the necessary parties, ordering necessary supplies, location scouting and reservation, creation of documents (presentation, agendas, etc.) related to the project.
- Produces efficient communication and coordinates the distribution of correspondence, such as emails, memos, reports, agendas, meeting notes, etc., and taking minutes. This includes writing, formatting, proofreading, editing, and distributing written and electronic materials with a high degree of accuracy and thorough attention to detail. Builds and maintains the Office's website, manages newsletters, listservs, mailing lists, other communications, and assist with the office's social media presence. Will interpret data and deliver the findings through charts and writing.
- Provide day to day communications and event planning activities for ODEI. Coordinates events and scheduling within the Wharton ODEI office; organizes, plans, and prioritizes activities (including conferences, seminars, and other events). These duties include corresponding with presenters, setting up virtual meetings (e.g. via Zoom), disseminating communications to internal and external audiences. For in-person events, making travel arrangements, booking rooms, ordering food, corresponding with vendors, etc. Monitoring several accounts, processing vendor travel and expenses through both the Concur and Penn Marketplace systems, and tracking reimbursement progress through the entire cycle.
- Manage, administer, and execute on recruiting, hiring, and onboarding for student worker positions. Oversees the undergraduate and graduate student fellows' program and ODEI advisory council meetings. This includes managing potential speakers, managing various aspects of the hiring process for student workers, scheduling meetings, developing agendas, and creating related marketing and communications materials.
- Manage the calendar of the Chief Diversity, Equity, and Inclusion Officer and other ODEI staff leadership schedules, meetings, and travel arrangements. Orders and maintains adequate inventory of office supplies; prepares requisitions. Provide general office administration for the ODEI suite.
- Other duties and responsibilities as assigned.
Qualifications
A Bachelor's degree and 2 to 3 years of experience is required, or equivalent combination of education and experience is required.
Required experience:
- Experience successfully working with diverse audiences is required.
- Strong organizational skills, strong written and oral communications skills, the ability to prioritize and meet deadlines.
- Willingness to go above and beyond to achieve the required goals.
- Ability to function with high degree of independence with a varied set of responsibilities, yet interact with colleagues in a centralized framework and contribute to a total team effort.
- Previous experience providing administrative support
- Proficiency with Microsoft Office suite
Preferred experience:
- Experience in project management in the area of diversity, equity, and inclusion.
- Familiarity with web content management systems.
- Proficiency with Adobe suite (i.e., InDesign, Spark, Photoshop, etc.).

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
