Project Coordinator



The School of Public Health seeks a Project Coordinator to support and spearhead activities for two career programs: A four-week summer high school student enrichment program, and an eight-week residential program for college students. The ideal candidate will have exemplary time management skills and provide support proactively. The dynamic nature of this role requires student and mentor engagement as well as interaction with executive leadership and external stakeholders. The incumbent will coordinate student and mentor recruitment, program events, and team meetings. The incumbent will also perform other day-to-day administrative and operations-related tasks. Attention to detail is essential for maintaining paper and electronic filing systems, drafting and distributing correspondence, preparing and reconciling expense reports, booking travel arrangements, assisting with presentations, and preparing annual reports. Work schedule is Monday through Friday, with occasional evenings and weekends possible.


Job Summary

Serves in an administrative capacity and provides administrative support to the project manager and other team members. Assists with fiscal management and compliance with federal regulations and the contracts. Manages day-to-day office operations and interacts with key stakeholders.


Essential Functions

• Demonstrated skill working in a fast-paced environment, attention to accuracy and detail, prioritizing diverse and competing tasks, and ability to fluidly change course, when necessary • Performing data collection activities, such as program applications, and maintaining records • Preparing, submitting, and tracking invoices, payments, and reimbursements from inception to completion • Corresponding with potential and selected program students, internship sites, program investigators, and internal and external stakeholders via phone, email, face-to-face, and on virtual platforms • Drafting and modifying program correspondence • Ability to maintain confidentiality • Experience with data management tools such as Microsoft Suite and Qualtrics • Carrying out program event duties such as setting up, transporting and breakdown of audio/video equipment such as projectors, laptops, microphones, and speakers, as well as catering supplies and goods. Completion of room assessments before and after each event, to ensure all arrangements are in order. Maintaining complete and up-to-date records for each event. May require cleaning of tables and disposal of trash • Attend and participate in staff meetings, training, and professional development workshops • Ability to work a flexible schedule, including occasional evenings and weekends


Physical Effort

The majority of the work is sedentary, performed at a desk/computer. Daily activities include the use of a computer/printer, calculator, telephone, and photocopy equipment. It is critical that the individual be able to communicate on a professional level both verbally and in writing. Seasonally, there is frequent and repeated moving of catering supplies, furniture, and program equipment. Ability to lift and move objects up to 35 pounds. Ability to move (walk) or remain still (stand) for extended periods of time. Ability to drive and/or use public transportation if needed.
