JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Financial Associate 2 assists in coordinating the business activities in support of 10 academic departments, 6 support offices, the UFP Clinic, and the OB/IM Residents Clinic. This position is responsible for processing invoice payments, contract and purchase order balance tracking, daily retrieval and sorting of mail, preparation of bi-weekly bank deposits, assisting with balance tracking of petty cash fund, entry of transfer vouchers, and filing of documents per University policy.

DUTIES AND RESPONSIBILITIES:

  1. Assists Financial Coordinator in processing invoice payments per University Policy to include petty cash reimbursements, refunds, and moving stipends.
  2. Monitors and disburses invoices in the group accounts payable email address.
  3. Records newly received invoices and checks on control spreadsheets.
  4. Utilizes the contract and purchases order tracking spreadsheets to monitor available balances and work with departments on any needed contracts on purchase order renewals.
  5. Assists with the disbursement, tracking, and replenishment of business office petty cash funds.
  6. Prepares biweekly bank deposits.
  7. Tracks the approval flow of entertainment, gift card approval forms, and files completed forms on the shared drive.
  8. Completes follow-up with departments to ensure ledgers are reconciled monthly.
  9. Becomes proficient in Dash/Oracle financial system to assist the departments with implementation.
  10. Performs other duties as assigned.

Qualifications :

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED.(TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of relevant experience; OR Bachelor’s Degree in lieu of experience.

  • Knowledge and proficiency using Microsoft Office tools.
