Job Description Summary

Provides guidance and support to campus on issues related to employee relations, performance management and compliance. Supports the Director of Campus Engagement in the ongoing development of Affirmative Action Planning and other important compliance initiatives focused on diversity, equity and inclusion. Answers many employee and manager inquiries regarding employment, work life, professional development and learning.

Job Description

Essential Functions:

Major Tasks and Responsibilities
  • Works closely with managers and staff to anticipate potential employee relations problems. Recommends necessary actions to avoid negative outcomes. Ensures compliance with federal and state statutes and relies on knowledge of legal guidelines related to employment discrimination, sexual harassment, Family Medical Leave Act, ADAAA, HIPPA, GINA, and the Fair Labor Standards Act.
  • Receives, investigates and responds to employment related inquiries and complaints from employees. Recommends appropriate proactive or corrective actions to address issues.
  • Mediates conflicts that arise between individual employees or between managers and staff. Makes referrals to the Ombuds Office and Employee Assistance Program when appropriate. Recommends corrective action when necessary. Works in conjunction with the HR Campus Engagement team and Office of the General Counsel.
  • Serves as liaison between employees and appropriate HR colleagues to address complex issues. As required, facilitates training programs and team meetings with departments.
  • Plans, completes, and files required EEO and/or affirmative action reports and documentation with government agencies, in collaboration with the Director of Campus Engagement. Uses appropriate statistical software or tools to measure and monitor equal opportunity and affirmative action plan compliance.
  • Answers questions from managers and staff related to the Human Resources Employee Policy Library. Assists with regular updates to the HR employment portion of the Policy Library and departmental employment related policies as necessary.
  • Collaborates with the Absence Analyst on accommodations requests. Participates in the interactive process. Works with individuals and managers to determine a reasonable accommodation.
  • Provides guidance to department heads and senior leaders during the creation and revision of position descriptions in conjunction with the Compensation team. Ensures documented responsibilities are accurate and employee performance expectations are clear.
  • Coaches department heads and senior leaders on the Performance Appraisal review process. Provides guidance related to proper language, detail, and tone. Provides guidance to managers and supervisors when employees have performance and/or behavioral issues. Assist with talking points and audit corrective actions to ensure quality.
  • Assists with the Workday performance management processes.
  • Assists with regular Workday launching of events, upgrades and testing, and training and education for campus.
  • In collaboration with the Compensation team, advises department heads and senior leaders on the determination of annual merit increases. Ensures consistency between individual pay and individual performance.
  • Works with managers and staff to create individual development plans that focus on individual effectiveness and future career growth.
  • Assists managers in assessing the need for workforce reductions. With the assistance of the Office of the General Counsel, leads the process of implementing reductions in force when necessary.
  • Coaches individual managers on principles and techniques for becoming more effective leaders. In conjunction with the Professional Development Center, creates and facilitates training for managers and supervisors regarding employment laws and policies.
  • Conducts exit interviews with staff upon request. Reviews exit data and turn over data. Investigates concerns that are reported and reviews data for themes.
  • Collaborates with all HR functional areas to develop and implement strategies to increase employee engagement.
  • Maintains employee relation cases in the EthicsPoint incident reporting system.
  • Performs other related duties as assigned
Required Education, Knowledge, Skills, Abilities:
  • Bachelor's degree plus 5 years of experience, or an equivalent combination of education and experience. Demonstrated experience as a strategic partner in a progressive Human Resources operation.
  • Practical knowledge of current employment laws and regulations.
  • Knowledge of regulatory guidelines to ensure that the institution is up-to-date regarding compliance with regulatory and legal employer requirements and with current and emerging employment practices and trends.
  • Ability to develop and maintain positive relationships with employees, managers, leaders, and other stakeholders. Strong customer service orientation.
  • Ability to analyze complex issues and to use independent judgment to make appropriate decisions on employment matters.
  • Excellent organizational and time management skills.
  • Strong analytical and interpersonal communication skills.
  • Excellent oral and written communication skills.
  • Proficiency in computer skills and relevant software programs.
Preferred Education, Knowledge, Skills, Abilities:
  • Advanced degree in human resources management, business administration or other relevant fields preferred. Various human resources certifications are desirable.
  • Experience with Affirmative Action Planning.
